Smart bed moves

Every guest in the right bed, every bed put to work.

HostelBeds seats every new booking where it fits best, whether it is a group or comes from a channel, so rooms fill up instead of leaving gaps. When a bed goes out of service it moves the affected guests to a valid bed for their whole stay, automatically. If it cannot place someone, your desk picks from the beds that fit.

Every booking, every change

The right bed for every guest.

1

Every new booking is seated well.

Every new booking, from your booking engine, a channel or the front desk, goes through your placement rules. Usually that means topping up a room that is already in use instead of opening an empty one, so whole rooms stay free to sell. Nobody already booked in is moved to make space, and you can turn it off if you sell specific beds.

Groups are placed as one.

With “Keep booking groups together” on, a group booking is placed whole: its room is chosen first and its beds second, so friends sleep in the same room. If the group ever has to move, it moves together.

When a bed stops being available.

A bunk breaks or a room closes for repairs. Instead of you shuffling guests by hand, HostelBeds finds each affected guest a new bed and moves them.

Every legal bed is checked.

It looks for a bed that is free for the whole stay and allowed by your rules, and it can move guests who have not checked in to make room. Checked-in guests never move. If it cannot place someone, your desk sees why each other bed is ruled out and picks one by hand.

You decide how it thinks.

Put three things in your own order: not disturbing guests who arrive soon, giving guests the bed they booked, and filling rooms up or spreading them out. Then choose how hard it should try.

  1. 01

    Fuller rooms, more free ones

With “fill rooms up” ranked high, new bookings usually top up a room that is already in use, keeping whole rooms free to sell.

  2. 02

    The guest never pays more

When you move a guest, what they pay stays exactly as agreed. The new bed's value is recorded beside it.

  3. 03

Downgrades only if you allow them

Locker, power outlet, privacy curtain and en-suite can each be marked as allowed to lose. Leave them off and a guest always lands on a bed with at least the features they booked. A larger dorm is only used if you allow it.

  4. 04

The whole stay, not one night

A guest is only moved to a bed that is free for every night of their stay.

    Your priorities, your rules
